EasyInspX

Privacy Policy

Draft last updated September 29, 2026. This document has not yet been reviewed by an attorney - see the note at the end.

This policy covers the mobile app, web portal, booking pages, and marketing site (the "Service") operated by EasyInspX LLC, a Kansas limited liability company ("EasyInspX," "we," "us"). It applies both to inspectors who hold an EasyInspX account and to their clients, who don't hold an account but interact with the Service through a report link, booking page, or e-signature link an inspector sends them.

1. Information we collect

Account information (inspectors)

Client and property information

Inspection content

Agreements and e-signatures

When a client signs a document through the Service, we record the signature itself (typed or drawn), the document version they saw, a timestamp, their IP address, and basic device/browser information, in addition to their explicit on-screen consent to sign electronically. This is kept as an audit trail so the signature holds up as a real, attributable signature if it's ever questioned - not just a picture of one.

Payment information

We don't store your full card number or bank details. Subscription payments are handled by RevenueCat (via the App Store, Google Play, or web card checkout), and payments a client makes to you are handled by Stripe. We store transaction metadata - amounts, status, and reference IDs - not raw payment card data.

Device location

If you grant permission, the mobile app uses your device's location to show local weather conditions relevant to an inspection (via Open-Meteo, a third-party weather service). This is optional - if you don't grant location permission, weather just doesn't show. This is separate from property addresses, which are typed in or looked up by address, not device GPS.

Crash and error reports

We use Sentry to catch app/site crashes and errors so we can fix them. These reports can include technical context (device type, OS version, what screen you were on, the error itself) but we do not use screen recording or session replay anywhere in the Service.

2. How we use this information

To operate the Service: generate and deliver reports, run scheduling and booking, facilitate payments, send transactional emails and push notifications (appointment reminders, report-ready notices, receipts), provide AI-assisted drafting suggestions, curate the Community Issue Library described below, prevent fraud and abuse, provide customer support, and fix bugs.

3. The Community Issue Library

When you write your own custom "Needs Attention" or "Not Inspected" finding on the mobile app (rather than choosing one of the built-in ones), its wording is automatically submitted for our review in the background - there's no button to press and nothing you need to do. We review each submission by hand. If we approve one, we add the wording - the finding's label, its description text, and which type of element it applies to - to a shared library available to every inspector on the platform, the same way our own built-in entries are.

What is not shared: your name, account, or any link back to you; which client, property, or inspection the finding came from; any photo. Only the wording itself is added, as a standalone, reusable entry - the same as any of our own built-in library items look to other inspectors.

You can delete your own copy of a custom finding from your account at any time. Doing so removes it from your personal list; it does not retract a submission we've already reviewed, and it does not remove an entry that's already been approved into the shared library, since by that point it's a standalone entry no longer tied to your account. There is currently no separate way to opt a specific item out of this review process short of not creating it - we may add a per-account opt-out setting in the future.

4. AI-assisted features

Some features send a photo or text you submit to a third-party AI system to generate a drafting suggestion - for example, suggested note text from a photo, a summary of your findings, or suggested agreement fields. Photos and finding text you submit for these features are sent to Anthropic's Claude API; building-code lookup queries are sent to Voyage AI for matching against reference material. Our agreements with these providers are intended to prevent our data from being used to train their general-purpose models, but you should check each provider's own current terms for the most up-to-date information, since vendor terms can change independently of this policy.

5. Who we share information with

We use the following service providers to operate EasyInspX. Each only receives the information it needs to do its job:

We don't sell your personal information, and we don't share it with anyone else except as described here, to comply with the law, or with your direction.

6. Data retention

We keep your data for as long as your account is active. If you delete your account, we remove your profile, stored files, and associated records; anything already approved into the shared Community Issue Library stays, since it's no longer linked to your account by that point.

7. Clients and non-account-holders

If you received a report link, a booking page, or an e-signature link from your inspector, you're interacting with the Service without an EasyInspX account of your own. The information you provide (name, contact info, address, signature) is processed as described in this policy and shared with the inspector who sent you the link. For questions about your own data, you can contact your inspector directly or reach us at the address below.

8. Your rights and choices

You can access, correct, or delete most of your account information directly from the app or portal. You can also contact us to request a copy of your data or ask us to delete it. Depending on where you live, you may have additional specific rights under local privacy law (for example, California's CCPA or the EU/UK GDPR) - this section will be reviewed for full compliance with whichever specific laws apply once we have a clearer picture of where our users are located.

9. Security

Data is stored with row-level access controls scoped to your account, transmitted over encrypted connections, and files are kept in private storage that isn't publicly listable. Administrative actions on the platform are logged. No system is perfectly secure, but we take reasonable steps to protect your information.

10. Children's privacy

EasyInspX is a professional tool for home inspectors and isn't directed at children. We don't knowingly collect information from anyone under 16.

11. Changes to this policy

If we make a material change to this policy, we'll let you know (for example, by email or an in-app notice) before it takes effect.

12. Contact

Questions about this policy or your data: [email protected].

Status: this is a working draft built from an actual inventory of what the product does and which third parties are involved - not generic template text - and the entity name above is now real (EasyInspX LLC, filed with the Kansas Secretary of State), but it still has not been reviewed by an attorney. Section 8 ("your rights") in particular needs a real compliance review once it's clear which states or countries EasyInspX's users are actually in, since specific privacy laws (CCPA, GDPR, and others) impose their own exact requirements this draft only gestures at.
